1. Data controller

2. Data we collect

We only collect data that is strictly necessary to provide our services and communicate with you.

2.1 Data you provide directly

• Identity: first name, last name (quote and contact forms).
• Contact details: email address, phone number.
• Moving project: origin city/country, destination city/country, estimated volume, project type, preferred date, free-text message.
• Inventory: detailed list of items and service options on the online estimation page.
• Consent: your expressed choice and its timestamp, where specific consent is requested (see section 4).

2.2 Data collected automatically

• Addresses entered in the forms: your current input (text string), your IP address, your user agent and your language are transmitted to the third-party service Google Maps Platform — Places Autocomplete (Google LLC) for address suggestion. Once a suggestion is selected, only the geographic coordinates (latitude/longitude) — without any identity data — are transmitted through our servers to the OpenRouteService (Germany, European Union) to calculate the road distance.
• Browsing and conversion data (only with your explicit consent via our cookie banner): pages viewed, visit duration, traffic source, device type, browser, language, as well as conversions from our Google Ads campaigns (ad clicks that resulted in a quote request). This data is anonymised.

4. Forwarding your request to the transport, moving and customs service providers we engage

MTN Moving is an international moving coordinator: we do not run a fleet of trucks in every country. To carry out your move, we engage transport, moving and customs service providers across 60+ countries, and we coordinate every move from start to finish.

4.1 Scope

• The data we share with a service provider is strictly limited to what is necessary to prepare and carry out your move (name, contact details, origin and destination addresses, estimated volume, moving date, service options, any customs-related information required).
• Service providers are selected on a case-by-case basis, depending on your route (country of origin and country of destination) and the type of service required.
• Only the service providers actually involved in your move receive your data — never a broad list of movers.

4.2 Legal basis

This processing is based on the performance of the contract you enter into with us, and on the pre-contractual steps you take at your request when asking for a quote (art. 6(1)(b) GDPR). We never sell your data and we never share it with service providers who are not involved in your move.

4.3 Status of these service providers under the GDPR

The transport, moving and customs service providers we engage to carry out your move act as independent data controllers once they receive your data for the purpose of carrying out your move. On simple request addressed to contact@mtn-moving.com, we can provide you with the name of the service providers who received your data for your specific move, so that you can exercise your rights directly with them.

Apart from the recipients expressly listed in this policy, your data is not transmitted to any third party. It is accessible to:

• MTN Moving's internal team (sales, operations);
• the transport, moving and customs service providers we engage to carry out your move, each acting as independent controllers (see section 4);
• our technical providers acting as processors under the GDPR, listed below.

7. Transfers outside the European Union

Some of our processors (Google, Vercel, Meta) may host data outside the European Union, in particular in the United States. These transfers are framed by:

• Google's, Vercel's and Meta's participation in the EU–US Data Privacy Framework (European Commission adequacy decision of 10 July 2023);
• the Standard Contractual Clauses (SCCs) of the European Commission, included in our data-processing agreements.

Service providers located outside the European Economic Area receive the data strictly needed to carry out your move, at your request. These transfers are framed by Article 49(1)(b) GDPR (performance of a contract concluded in the data subject's interest).

8. Your rights

In accordance with articles 15 to 22 of the GDPR, you have the following rights over your personal data at any time:

• Right of access: obtain a copy of the data we hold about you, as well as the list of recipients to whom your data has been communicated.
• Right to rectification: correct inaccurate or incomplete data.
• Right to erasure (“right to be forgotten”): request the deletion of your data.
• Right to restriction of processing: suspend the use of your data.
• Right to portability: receive your data in a structured, reusable format.
• Right to object to the processing of your data on legitimate grounds.
• Right to withdraw your consent at any time (in particular for cookies).
• Right to lodge a complaint with the competent supervisory authority (see below).

To exercise these rights, send us an email at contact@mtn-moving.com, stating the nature of your request and attaching a copy of a proof of identity if there is a reasonable doubt about your identity. We commit to answering within a maximum of 30 days.

Complaint to a supervisory authority

If, after having contacted us, you consider that your rights over your data are not respected, you have the right to lodge a complaint with the competent supervisory authority.

Our company is a company under Finnish law. You can contact:

• the Office of the Data Protection Ombudsman (Tietosuojavaltuutetun toimisto), the Finnish supervisory authority — PO Box 800, 00531 Helsinki, Finland, or online via tietosuoja.fi;
• or the supervisory authority of the EU country in which you reside.

The determination of the lead authority within the meaning of the GDPR depends on the main establishment of the controller.

9. Cookies and trackers

We use the following types of cookies:

9.1 Strictly necessary cookies

These cookies are essential to run the website and do not require your consent. They are set automatically.

• mtn_consent: stores your choice regarding audience-measurement cookies (duration: 13 months).

9.2 Audience measurement and conversion cookies

We use Google Analytics and Google Ads to measure traffic and the effectiveness of our advertising campaigns (which ad clicks lead to a quote request). These cookies are set only after your explicit consent via our consent banner, and are not used to build a personalised advertising profile.

• _ga, _ga_*: Google Analytics identifiers for traffic measurement (duration: up to 14 months).
• _gcl_au, _gcl_aw, _gcl_*: Google Ads identifiers for conversion tracking (duration: 90 days).

9.3 Change your preferences

You can withdraw your consent at any time by clicking “Cookie settings” in the footer, which reopens our consent banner. You can also disable cookies directly in your browser settings (Chrome, Firefox, Safari, Edge).

No audience-measurement or advertising-conversion cookie is set until you have clicked “Accept”.If you click “Refuse”, your choice is remembered and no corresponding script is loaded.

10. Security

We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss, alteration or disclosure:

• TLS / HTTPS encryption of all communications with the website;
• Firestore security rules restricting read access to the collected data to authenticated accounts;
• access limited to the data strictly necessary for each team member;
• regular, encrypted backups.

11. Changes to this policy

This privacy policy may be updated to reflect legal, technical or organisational changes. The date of the last update is shown at the top of this page. In the event of a substantial change, we will inform you via a visible notification on the website.
